Upper Level Team Manager

Position Details

  • Term Length:
  • 1 Season
  • Roughly October-March
  • You can be team manager for more than one season, but you must sign up each year.
  • Compensation:
  • Full Family Volunteer Hour Credit
  • Upon completion of the responsibilities of this role for the season, you will recieve credit for this seasons volunteer hours for your family. This is not a stipended position.
  • Time Commitment:
  • Approx. 12 hours per month

Responsibilities

Prime contact for team communication, assists coach, schedules game day duties, responsible for organizing team events and tournament logistics.



Team Logistics

  • Coordinate team (parent and player) kick off meeting in conjunction with the coach.
  • Coordinate team specific apparel orders at the beginning of the season.
  • Coordinate team gatherings, team building activities, and community service projects as desired by the team.
  • Order USA Hockey Awards that have been earned monthly.
  • It is very common for the awards to be on backorder at the end of the season, so it is advisable to order several times throughout the season to beat the end-of-season rush.
  • Be proactive with ice coordinator, D6, and other team managers on bad weather cancellations.

Team Website

  • Keep team website current with schedule, roster, pictures, parent game day responsibilities, tournament information, etc.
  • Remember that team websites are public, please do not include parent/player personal information.

Gamesheet

  • Activate team roster. Often you will have to manually enter rosters at the beginning of the season until they’ve been loaded in.

Communication with Parents

  • Set up team GroupMe chat to allow easy communication amongst team families & staff. The use of GroupMe is not required but generally seems to be the best platform that most families already use.
  • Send out weekly or biweekly communication via email with most important information as it can sometimes become lost in a group chat and is helpful to have as a reference.
  • Provide information for team pictures and ordering link once proofs are posted.
  • Communicate CCHA policies and procedures to families as necessary. If/when you have a disciplinary matter, communicate this to your coaching staff as well as your level commissioner. You are not responsible for disciplinary matters.

Communication with Scrimmage Manager / Treasurer

  • Work with scrimmage manager & ice coordinator on updating the team calendar with scrimmages and practice changes.
  • Establish slush fund amount by collaborating with team treasurer & coaches
  • Determine if there are any unpaid gate fees on scheduled tournaments. The team treasurer is responsible for cutting gate fee checks.
  • Be sure you know scrimmage rules for your level - Squirts & 10U have a 35-game limit.
  • Work with Scrimmage Manager on setting up same level scrimmages per D6 rules.
  • Work with the Coach on dryland requirements, add this cost to slush fund as necessary.

Communication with opposing Team Managers

  • This is not always necessary but can be helpful to ensure all details are set & communicated correctly for all games & scrimmages.
  • Be sure to communicate bad weather cancellations with the opposing team as quickly as possible.
  • You can often find team manager information on the opposing teams website.

Game Day Responsibilities

  • Coordinate timeclock, penalty box, locker room monitor, and scoresheet training for your team parents at the beginning of the season so that nobody can use the excuse that they don’t know how to complete these duties when their time comes in the rotation.
  • When creating the family rotation, all families are expected to complete an even share of game day duties throughout the season. Coaches are exempt from this as they are expected to be on the bench during all games. If you have enough coaches on your team that are also able to fulfill the coaching needs of the team and can also complete some of the game day duties, it is acceptable to include them in the rotation as well.
  • Manage locker room monitors schedule & ensure D6 policies are followed.
  • After every game and scrimmage, make sure the game or scrimmage results are fully uploaded into Gamesheet and CCHA iPad is returned to the locker for charging and safekeeping.

Tournaments

  • Please contact each tournament director for all tournaments your team is participating in to be sure that they have your contact information and confirm that all dues have been paid to participate in that tournament. You can typically find a contact form to complete or the tournament director information on each tournament website.
  • The CCHA Treasurer (treasurer@cchockey.org) can also verify if gate fee is due for your tournaments.
  • Proactively manage tournament(s) details and logistics as information becomes available.
  • Pre-order tournament t-shirts, if necessary.
  • Provide USA Hockey certified tournament roster when necessary. You can get these rosters from the CCHA registrar.
  • Coordinate & book hotel room blocks for tournaments as needed.
  • Communicate with your level commissioner to ensure that they did not take care of this task for you in the off-season when your tournament spot was likely secured.
  • You are not expected to pay for anyone’s reservation except for your families. Your job is to organize & confirm room blocks & reservations as necessary, not be the team’s travel agent. Each family is responsible for their own accommodation.
  • Some tournaments are “stay to play”. In these cases, please communicate the rules of the tournaments with families in advance.
  • Stock locker room with healthy snacks and drinks for tournaments.
  • Organize player goodies or swag bags as desired by the team.

Playoffs & Season End

  • Plan & Coordinate end-of-season player/coach gifts, party location.
  • Gather District, Regional, & State playoff tournament information.
  • Remind team about the Storm Hawk Awards
  • Provide families with a link to submit entries for their player if they qualify for an award.
  • Award Ceremony is typically held mid-March.

Team Meetings

All room requests must be submitted at least 2 business days prior to the reservation. The employees that reserve these rooms do not always review requests over the weekend, so please be prompt with your requests.

You must pay for your reservation to confirm the booking.

The VRC/VIC only accepts debit/credit cards.

The CCC accepts debit/credit cards, checks, & electronic checks.

CCHA does not pay for team meetings. You will have to cover the cost of room rentals through your slush fund.
